# Google Calendar and meetings

> Connect a calendar, choose automatic booking, and recover from connection or scheduling errors.

Scouty uses a project-level Google Calendar connection to check availability, create an event, and add a Google Meet link after an interested prospect proposes a time.

## Connect Google Calendar

After an opening email is confirmed as sent, Scouty opens **Book meetings** and displays “Email sent. Connect Google Calendar to get ready for meetings.”

    Leave **Book meetings automatically when they propose a free time** selected if you want Scouty to create an event when the reply contains a concrete available time. Clear it if you prefer to book manually.

    Select **Connect Google Calendar**. You can use any Google account appropriate for this project.

  <Step title="Approve the Google connection">
    Choose the Google account and approve the requested Calendar access. Scouty returns you to the same project.

    After a successful connection, Scouty opens the project Dashboard. If the project was already connected, it can continue directly.

Select **Set up later** to open the project without connecting. Replies are still tracked, and you can connect from the project later.

## Automatic booking behavior

When automatic booking is on, Scouty can book a concrete weekday time from a reply if the time is between 07:00 and 21:00 in the connected calendar's time zone and the calendar is free.

If the proposed time is unavailable or the reply does not contain one clear time, Scouty drafts a response with available options for you to review and send. Replies to prospects are never sent automatically by the Calendar feature.

You can change **Auto-book meetings from replies** and **Meeting length** in the connected Calendar card. A booked event appears in the conversation activity. Cancellation and RSVP changes can update the meeting state.

## Book a time manually

Open the conversation and use the booking form when you and the prospect have agreed on a time or the automatic workflow needs help. Confirm the time carefully. Scouty sends a calendar invitation with a meeting link when the booking succeeds.

## Booking link compared with Google Calendar

| **Booking link** | An external scheduling page inserted into a new or rewritten opening email. | A booking made outside Scouty does not automatically update the project. |
| **Google Calendar connection** | Checks project availability and creates an event from a reply or manual booking. | Scouty tracks the event and meeting activity. |
| **Google Meet link** | The join link attached to a Calendar event. | It is created as part of a successful event, not configured as the Booking link. |

## Recover from connection problems

* If you cancel the Google connection, return to the Calendar card and select **Connect Google Calendar** again.
* If Scouty cannot load the Calendar status, wait and retry.
* If the connection remains unavailable, select **Set up later**. You can continue managing email and retry from the project.
* If the wrong Google account is connected, select **Disconnect**, confirm, then connect the correct account. Existing booked meetings stay on the old calendar.

  Calendar settings belong to one project. Connecting a calendar in one project does not silently change another project's Calendar settings.
